SUMMARY

The Assistant Director supervises office staff ensuring proper documentation, procedures and policies are followed by office staff.

  • This position will act as the Kids Café Coordinator. 
  • Coordinate Special Events in conjunction with the Executive Director and Donor Relations Coordinator.
  • Coordinate the volunteer program. 
  • Assist with food solicitation and fundraising. 
  • In the extended absence of the Executive Director, will temporarily assume the role of Executive Director. 
  • Will assist the Executive Director with evaluations of hourly office employee performances.


 

DUTIES AND RESPONSIBILITIES

  • Assist the Executive Director in fundraising activities and grant writing.
  • Coordinate special fundraising events in conjunction with the Donor Relations Coordinator.  Includes attending meetings and writing reports to the Executive Director.
  • Coordinator the Kids Cafe Program.
  • Set up new sites in consultation with the Executive Director.
  • Monitor sites to ensure compliance with program agreements
  • Assure an adequate supply of food is available to the Kids Cafe sites.
  • Search and request grant funds to support Kids Cafe program.
  • Apply for CACFP funding and assure reporting is submitted on time.
  • Coordinate the Back Pack Program
  • Set up new sites in consultation with the Executive Director
  • Monitor sites to ensure compliance with program agreements
  • Assure an adequate supply of food is available to the Back Pack program in conjunction with the Food Resource Coordinator.
  • Search and request grant funds to support Back Pack program
  • Supervise Agency Coordinator
  • Assure appropriate record keeping, product distribution, and product safety.
  • Ensure agencies are monitored within proper time frames, assisting with monitoring of sites.
  • Recruit new agencies as needed to ensure adequate facilities in our severing area.
  • Assist Agency Coordinator with Agency Newsletter assuring publication is completed and mailed in a timely manner.
  • Supervise Bookkeeping/USDA Administrator.
  • Assist with paperwork and training of agencies
  • Assist with complaints of non-compliance of agencies (USDA)
  • Coordinate the Volunteer program
  • Develop a corps of volunteers for warehouse, office, and special events.
  • Meet and coordinate with representatives of Community Service personnel
  • Supervise office volunteers.
  • Conduct orientation and tours.
  • Ensure adequate coverage and training for activities.
  • Coordinate Tri-State Food Bank vehicle use.
  • Supervise Development Coordinator
  • In conjunction with Executive Director and Development Coordinator, assist with implementing the Schedule of Development activities, including a fundraising calendar with yearly priorities and benchmark goals.
  • Assure the duties of the Development Coordinator are executed accurately and on time.
  • Be cross-trained so that the Tri-State Food Bank can adequately manage job coverage when employees are on vacation or away from the office for other reasons.
  • Help establish favorable public relations to promote the Tri-State Food Bank.
  • Must be available to travel to attend Feeding America conferences, State Association meetings, and various meetings in our 33 county service area.
  • Other duties as assigned by the Executive Director or Board of Directors.


 

SALARY

This is a salaried position.  Salary will be commensurate with experience.  Benefits will apply as outlined in the Employee Handbook.


 

SKILLS AND EDUCATIONAL REQUIREMENTS

  • Educational requirements may include a Bachelor’s degree in business management or comparable skills.
  • Become certified in Safe Food Handling with 1 year.
  • Management skills.
  • Planning skills.
  • Organizational skills.
  • Public Relations skills.
  • Ability to write and manage grants and raise funds.
  • Ability to work with staff and a variety of volunteers.
  • Computer knowledge of Microsoft Excel, Power Point or other programs used by Tri-State Food Bank


 

OTHER REQUIREMENTS

  • Must carry insurance on personal vehicles and be insurable by the Tri-State Food Bank insurance company.
  • Must be bondable.
  • Must have valid driver’s license.
  • Must be willing to undergo drug screening test and criminal background check
